Great Event Planning Starts with the ID Badge

by david 21. March 2012 08:35
david

When planning a meeting or event, there are lots of important details to track: venue, food, transportation, attendees, and more. With so many details to look after, it can be easy to forget one. Unfortunately, many event planners consider IDs an afterthought, yet event ID badges are an important part of a successful event. Incorporating ID badges into the early stages of event planning can save you both time and money.

Save Money on Custom Lanyards. Popular at events, custom lanyards enhance the attendee experience. When planning an event, consider ordering your custom lanyards early in the planning process. Ordering lanyards early will increase your options since some low cost custom lanyards require a 4-6 week production time.

Shop New EZ Meeting Kit
Simplify your event ID badges with the new EZ Meeting Kit.

Before you place the order for your custom lanyards, take time to think about the appropriate lanyard attachment for your event. Consider the types of activities you have planned for attendees and whether or not a breakaway feature is important.

Save Time with Data Setup. When you design your event ID badge early in the planning process, you’re able to collect attendee data to accommodate the badges. If you know what information you want to display, you can organize the information accordingly. For example, you can create separate columns for first and last name, instead of grouping them together in your spreadsheet. This will save you time when you’re ready to print the event ID badges!

Save Time at Registration. When you have all your ID badges complete ahead of your event, you’ll be able to make the registration process fast and efficient for event attendees. Organize the completed badges so they will be easily accessible when registering attendees. Also be sure to pack ID badges in a travel case that is easy to transport and won’t move your badges out of order.

By incorporating your event ID badges early into the event planning process, you’ll not only save time and money, but you’ll save yourself stress, too!

Streamline School Processes with Student ID Cards and an ID Card System

by david 15. March 2011 08:30
david

Focus on School Security. For the month of March, the IDville team will be focusing on school security. All this month, we’ll blog about different ways to improve school security. Have questions? Email us or request a System Information Pack for more info.

Student ID cards can improve more than just the security at your school. The introduction of ID cards to your students and staff can help streamline various processes within the school, too.

With the proper ID card system and ID card software , you can add barcodes or mag-stripe encoding to your ID cards. These additional features allow you to connect your lunch program and library system. Students can use their ID cards to purchase meals and check out materials.

Schools find this system saves time, increases efficiency, and is safer for students, too. Students will also be more motivated to wear their ID cards as they will be required for checking out library books or buying school lunch.

Create Student ID Cards Time Savings

For example.  Northeast Middle School (NEMS) in Clarksville, Tennessee prints around 1,600 ID cards for its students, staff, and visitors each year. When Bruce Hester, NEMS Media Specialist and Librarian upgraded his ID card system, he experienced a significant time savings.

“The old process was multi-step using the laminating pouches and the cards," said Hester. "When we decided to upgrade we were looking to produce ID cards with ease, and we wanted better looking and more durable ID cards for the students."

The speed of the new ID card systemhas helped move registration lines along and saved the school labor costs. "Using the barcodes on the ID cards speeds up library checkout and helps staff identify the students," added Hester. "We also make ID cards without a photo for substitute teachers and visitors." This ID card system increases building security, leaving students, staff, and parents feeling more secure.

At IDville, we’ve worked closely with our customers to understand that different industries have different security needs. Education, healthcare, and manufacturing especially have varying photo ID card requirements to keep their staff, patients, and students safe. We recently launched new healthcare ID card products and education ID card products to help all organizations display their ID cards correctly. Here are some of our new products and old favorites that you should consider using in your organization:

Healthcare Identification ResourcesHealthcare
Hospitals, doctor offices, nursing homes, and other healthcare organizations all have a responsibility to protect their staff and patients from both external and internal threats, including germs! ID cards can collect germs and bacteria over time and transport them from room to room. For a healthier alternative, use antimicrobial lanyards that prevent the spread of germs, and request staff display ID cards in sealable badge holders to protect cards from germs

Healthcare ID card accessories:

Antimicrobial lanyards - Avoid the spread of germs
Fun shape badge reel lanyards - Perfect for pediatric specialists!
Medical badge reel with plastic clip - Allows for comfortable wear against skin
Sealable badge holders - Protect cards from germs, keeps card clean
Medical position identity cards - Fit neatly behind ID cards, make positions readily visible to patients, visitors, etc. Cards say Doctor, LPN, RN, and Staff.

Education Identification Resources Education
Security should always be a top priority at schools, so equipping staff, students, and teachers with the proper identification is important. To ensure your school members are properly displaying their ID cards, give them the right accessories to wear.

Education ID card accessories:

USB lanyard – Teachers can carry important data with them.
Pedia pals badge reels - Children will enjoy this fun alternative to a basic badge reel.
Child size and adjustable lanyards – Keep children safe with the proper sized lanyard.
Breakaway lanyards – Available in several lanyard designs, the breakaway option prevents choking or injury.

Manufacturing
Manufacturing facilities need special security to ensure the safety of their people, facility, machinery, and investments. You can identify manufacturing employees safely with the right ID card accessories that won’t get caught in machinery or get in the way.

Business Identification ResourcesManufacturing ID card accessories:

Heavy duty badge reel - A durable and long lasting option for the roughest of environments.

Proper Display of ID Cards Improves Security

by todd 24. January 2011 09:21
todd

Photo ID cards are an important part of a secure facility. But if ID cards aren’t displayed properly, they provide little if any help to your security efforts. To encourage students, staff, and employees to properly display their ID cards, you need to provide the necessary ID card accessories.

Carabiner Badge Reels – This badge reel is designed with a twist-free base that will keep your ID card facing forward at all times.

Strap Clips – The most popular (and affordable!) ID card accessory securely attaches your ID card to anything without permitting it to spin. Clipped to a shirt pocket or lapel, a strap clip will keep the ID card facing forward and easily visible.

Magnetic Badge Holders – Using magnets to display your ID badge is another way to ensure ID cards are always facing the right direction.

If you are still working through the ID card design process, consider making a two-sided ID card. Duplicate the most important information on both sides of the card, so it can be properly displayed even if it twists.

Increase Security in the New Year with Photo ID Cards

by david 4. January 2011 09:59
david

Welcome to 2011! Do you have any New Years resolutions? This year, IDville made a resolution to help more companies create safe and secure work environments where learning, productivity, and innovation thrive.

Photo identification is a critical component of a safe work environment. In fact, it’s very common for schools, hospitals and businesses to have a photo identification card policy. If you already use photo ID cards at your organization, do you have a policy in place?

A photo ID card policy clarifies for employees, students and staff what the expectations are regarding an ID card. For instance, are ID cards used for buying lunches or checking out materials? Are individuals required to display their ID card with them at all times?

Start the New Year off right by putting a formal photo ID card policy into place. It doesn’t have to be long or elaborate. Follow our guidelines to craft your own policy for your organization.

An ID card policy should:

 Provide guidelines for information and design elements that must be included on ID cards.

 Outline the expectations for wearing and displaying the ID card.

 Describe how replacements can be obtained and the cost, if any.

 Explain all the ways ID cards are used. For instance, access control, time and attendance, making purchases or checking out materials, etc.

For more ID card policy ideas, look at similarly sized organizations in your industry. Their policies will provide a good benchmark for your own.

Something new is coming to IDville!

Promote your Organization’s Culture with ID Cards & Accessories

by david 20. December 2010 09:07
david

ID cards are an important part of an organization’s safety and security plan, but they can also be used for the “lighter” side of business: promoting your culture.

This month’s Identify Newsletter introduced our sister company, Baudville, and how to combine its employee recognition products with identification and safety for a better work environment. You can read the complete newsletter here, and put a few of the following tips in to practice in the new year!

Promote your culture with ID cards:

 Use your ID card design to show off the personality of your organization. Incorporate a picture of a favorite spot within your facility, use lots of color and allow individuals to have a little fun with their ID picture.

 Equip all employees or students with fun accessories for ID card display. Create custom lanyards for your organization. You can even personalize each lanyard with staff names! Themed lanyards and themed badge reels can also promote your culture and bring a little fun to every day at work.

 Maintain a small inventory of themed lanyards and badge reels, and give employees access to it. Encourage employees to select a new item on a regular basis. This will help to keep them motivated to wear their ID card.

 Have employees, staff or students display their recognition and award lapel pins on a specialty badge holder. Pin Display badge holders hold both your ID card and lapel pins.

Badge Holders Protect and Preserve ID Cards

by todd 7. December 2010 08:56
todd

ID cards are an investment in the safety of your people and the security of your building. You can prolong the life of employee ID cards and reduce the number of reprints by displaying ID cards in a badge holder.

There are many advantages to displaying ID cards in a badge holder, and all of them result in a longer life for your ID card:

 Badge holders protect ID cards from the elements, making the ID card look newer, longer.
 A badge holder can prevent an ID card from being damaged, for instance by being shut in a door or creased in a purse.
 Ensure ID cards always display the necessary information by using a badge holder.
 Complement your ID card design and promote your brand with a colorful badge holder.
 Protect ID cards from water and spilled beverages.

To ensure employees display their ID cards in a badge holder, always present the completed ID card in a badge holder. Explain to employees that they’re expected to wear the ID card in the badge holder whenever they’re in the building.

Your team will have great looking ID cards that are long lasting, making your facility more safe and secure!

Customer-Focused ID Maker Printer

by david 1. December 2010 10:20
david

ID cards can be used to improve relationships between frontline employees and customers by displaying helpful information to customers. They also reassure customers they are working with an official and knowledgeable company representative.

An IDville customer from Cleveland, Ohio, recently shared how his organization is using the ID Maker printer to provide more useful information to customers at several quick oil change locations.

Learn more about ID Card Printers“This is the first ID Maker we have ever purchased. After doing extensive research, we found the ID Maker very affordable while producing a professional ID card. Our customers see these cards everyday in all 37 of our quick oil change locations and have commented on how good they look.

Instead of having our uniform company put names on the shirts, we can now display name, title, hire date and technical certifications. This is much more information presented to our customers in a clean, credit card sized ID card. Our team members are proud to wear them, as it fosters a level of accomplishment as they complete training certifications”

In addition to using ID cards to provide more information to customers, the ID Maker software was also based on customer feedback. The software program is designed to be as simple to use as possible.

Strap Clips: An Affordable Display Option

by david 23. November 2010 15:09
david

ID cards provide valuable visual identification. They make it easy to know who does and does not belong in your building. Once you create your ID cards, you must provide ways for your employees and staff to display them.

If you have a tight budget for ID accessories, strap clips are an ideal display option for you and your organization. As low as $0.18 each, strap clips can attach an ID card to anything!

Strap clips are commonly used to attach ID cards to shirt pockets, belts and even purses. The strap clip and ID card should be worn so the ID card is easily visible and accessible.

In order to attach an ID card to a strap clip, the card must have a slot punch. Otherwise, you have no way to connect the ID card and strap clip.

You have several strap clip options. You can order strap clips:

- In a color that coordinates with your ID card design
- To hold more than one ID card with extra length.
- With a rubber tip grip so you don’t damage clothing.
- To be worn on a belt.
